Lead Estimate Workflow

Step 1: Create a New Lead

  1. Navigate to CRM > Contacts
  2. Click + New and fill in Lead Details
  3. Add Jobsite Information

Step 2: Estimate Creation Phase

Select an appropriate method to create an estimate:

Option 1: 
Create Estimate from Template
Option 2: 
Copy an Existing Estimate
Option 3: 
Create Estimate from Scratch
  1. Click on Estimates tab > + Estimate
  2. Click on either Create Standard or Create Service
  3. Click Import and search for an existing template.
  4. Import Work Areas from the selected template.
  5. Navigate to Customer Info Page and fill in Estimate Details.
  1. Navigate to Estimates > Estimate List
  2. Search for a relevant template and click into it.
  3. Click Copy Estimate, then change the Customer/Lead.
  4. Navigate to Customer Info Page and fill in Estimate Details.
  1. Navigate to Customer Info Page and enter Estimate Details.
  2. Manually build the estimate with required work areas and pricing.

💡We highly suggest using Work Area Templates to make this process faster and more consistent

Step 3: Review Estimate Notes and Reports

  1. Click Client Notes and:
    • Verify/Import Header & Footer (Terms & Conditions).
    • Verify/Import Work Area Client Notes.
  2. Click Crew Notes and:
    • Verify/Add Crew Notes.
  3. Click Print Reports and:
    • Select Customer Proposal
    • Configure report options and Preview.

Step 4: Publish and Send Proposal

  1. Click Email/Publish Proposal
  2. Configure and customize the Email Message.
  3. Click Email & Publish to send the proposal to the customer.

Step 5: Monitor Proposal Approval & Activity

  1. Click CRM > Portal Activity
  2. Filter by Proposal Approved to check for approvals.
  3. If you are the Reply-to Contact or Salesperson, monitor your email inbox for:
    • Estimate comments
    • Approval notifications
    • General emails about the estimate

Step 6: Next Steps Based on Approval

Once the proposal is approved, follow the appropriate workflow based on job type:

If Design/Build: If Maintenance/Snow - Seasonal: If Maintenance/Snow - Per Visit/Hourly:
  1. Generate Contract
  2. Generate Invoice for Milestone 1
  3. Publish Invoice for Payment for Milestone 1
  1. Generate Contract
  2. Set the Number of Monthly Invoices
  3. Configure the Invoice Start Date
Move to Step 7 ⬇️

Step 7: Transition to Job Creation Phase

When Milestone 1 Payment is Received:

  1. Navigate to CRM > To-dos & Requests
  2. Create a To-Do for the Ops Manager with the status Ready to Move to Job Creation Phase.
