LMN Reports Not Working: Access, Permissions, and Common Errors

Reports tab greyed out or “no access”

If you see Reports but it’s greyed out or says “No access”:

  1. Ask your LMN admin to check your user role:

    • Open Settings > Users.

    • Find your user > View All permissions > Reports

    • Confirm you have permission to use Reports and the relevant modules (CRM, Jobs, Invoicing, Payroll).

  2. If you were recently created or changed roles, your admin may need to update your permissions and have you log out and back in.

“I cannot make or access any reports”

If no reports run at all:

  1. Try a simple report first (for example, a short‑range job or CRM report).

  2. Use a supported browser (latest Chrome or Edge) and, if possible, an incognito/private window.

  3. If you still cannot run any reports:

    • Confirm with your admin that your permissions include reporting.

    • If yes, contact Support with:

      • Your company name

      • Your LMN login email

      • If possible, include a screenshot showing what you see when you open Reports.

Report says “no data” but you know there should be some

If a specific report returns empty/no results:

  1. Check the subject (job/employee) is correct

    • If there are duplicate job names, pick the one that actually has timesheets or invoices.

  2. Check date range

    • Make sure you’ve selected a date range that includes when work was done.

  3. Check filters

    • Confirm you haven’t filtered out:

      • Divisions

      • Job Groups

      • Employees (especially inactive ones)

  4. Check timesheet or job setup

    • Make sure timesheets are submitted/approved as needed.

    • Ensure the job is not completely inactive or archived in a way that hides it from some filters.

If the report still shows no data after these checks, contact Support with:

  • The report name

  • The job/employee and date range

  • Screenshots from the report setup screen and the timesheet/job that has data.

Numeric or runtime errors (for example, error codes like 524)

If you see a specific error code (for example, 524) or runtime error when generating a report:

  1. Try:

    • Shortening the date range.

    • Removing extra filters.

    • Running the report for a smaller dataset (for example, one division or one employee).

  2. If the error still appears:

    • Take a screenshot of:

      • The error message

      • The report name and filters you used.

    • Contact Support and include:

      • Company name

      • LMN login email

      • Report name and filters

      • Error screenshot

When to escalate to Support

Contact LMN Support when:

  • You cannot open Reports at all despite having permissions.

  • A report still shows no data after you’ve:

    • Verified the correct subject (job, customer, employee)

    • Checked date range and filters

    • Confirmed timesheets or invoices exist

  • You receive a repeated technical error code even after trying smaller date ranges and simpler filters.

Providing specific examples (one job or employee, one report, one date range) will help Support resolve your issue much faster.


LMN Timesheets & Payroll Reports Don’t Match (Rounding, Excel vs In‑App, Missing People)

Typical symptoms

You may see:

  • Payroll Excel export (for example, Payroll Report – Excel [Detail] or [Simple]) doesn’t match the totals shown in in‑app payroll reports

  • Different payroll reports show slightly different totals

  • A foreman or crew member is missing from payroll/staff/crew daily log reports

  • You need to know who edited a timesheet and where to see it

Why numbers may not match

Use this quick checklist:

  1. Decimal / rounding differences

    • In‑app screens may use more decimal places (for example, 6) than the Excel export (usually 2).

    • When totals are rounded in Excel, small differences (minutes over many days/employees) can add up.

    • If the difference is only a few hundredths of an hour, it is almost always rounding, not missing time.

  2. Approved vs submitted timesheets

    • Many payroll reports have an option like “Show Approved Time only”.

    • If this is checked:

      • The report will only include timesheets with status = Approved.

    • If this is unchecked:

      • The report includes all submitted timesheets (even if not approved).

    • Make sure you are using the same setting across all reports you’re comparing.

  3. Different report purposes

    • Some reports are meant for payroll, others for job costing.

    • For example:

      • Payroll Summary – Daily Hours is often used for payroll totals.

      • Job Hours or Job History reports are focused on job costing and may filter differently.

    • Always compare like‑with‑like (payroll report vs payroll report; job‑cost report vs job‑cost report).

  4. Date ranges and filters

    • Check date ranges carefully:

      • Some reports can run for all dates, one week, or up to a year.

      • Others (especially some exports) may be limited to certain windows.

    • Also check:

      • Employee filters (active vs inactive, staff groups).

      • Jobs and divisions included.

  5. Overnight or early‑morning work

    • Shifts that cross midnight (for example, snow work from 11:00pm to 3:00am) may be counted on the next calendar day in some reports.

    • If a day appears to have “too many” hours, check if part of the previous night’s work was rolled into that date.

Finding who edited a timesheet

If you need to see who edited times:

  1. Use a Foreman Edit Audit – type payroll report.

  2. These reports list edits by foreman/approver, but may not always show if an office admin edited time instead.

  3. If your office staff (not the foreman) often adjust times, you may see correct totals but not always the exact editor’s name in one place.

What to use as your “source of truth”

For most companies:

  • Use a single payroll export (for example, Payroll Report – Excel [Detail]) as your source of truth for payroll.

  • Use job‑costing reports (for example, Job History – Time [Excel] or Job Est. vs Actual) as your source of truth for job costing.

  • Expect minor rounding differences when comparing hours on‑screen vs Excel.

When to contact Support

Reach out to LMN Support if:

  • The difference is large or clearly wrong (not just a rounding issue).

  • A specific employee or foreman is completely missing from all relevant payroll reports despite having timesheets.

  • You have a concrete example where:

    • You can show one timesheet,

    • The exact report you ran, and

    • The settings/date range you used.

Include:

  • Employee name

  • Timesheet date(s)

  • The name of the report you ran

  • Screenshots of both the timesheet and the report row (or missing row)


ERROR: "Runtime Error" when running Payroll Report

This error occurs when some settings are missing in one of your Job Types for Payroll Codes.

To fix:

In LMN go to Settings > Job Types > Select your Job Types and then the Payroll tab until you find one blank like below.

From the drop-down menus select the appropriate payroll code and then run your report again.


Nothing happens when I run LMN Payroll Excel Reports

If you run a Payroll Excel Report in LMN and nothing happens please follow the steps below to fix this issue:

  • Go to Settings > Job Types
  • Open each one of your job types and click the Payroll tab like below.
  • Make sure none of the Payroll settings are blank.  If blank - set the Payroll code to the desired payroll code and save.
  • Repeat for all your payroll codes - make sure you have no blanks

Weird Characters and Fonts Showing Up on LMN Reports

If you are trying to generate a Report in LMN and your font has changed or doesn't look correct, that means that a crew member has likely used an emoji on the task notes... and this emoji might not be supported by the report generator.

How to Fix via Admin Login: 

We will need to delete the emoji off of that timesheet:

  1. In LMN, Click on Timesheets > Timesheet List on the left-hand menu.
  2. Find the timesheet that you need to change the Task Note on and click on it
  3. If the timesheet has been submitted, you might need to put it back into progress (to do that, click on the edit button at the top on the screen) and click OK
  4. Click on the Task Info button
  5. Click on the NOTES tab
  6. Remove the emoji and click SAVE
  7. Re-run the same report and it should be fixed

Which LMN Report Should I Run?

This guide maps common questions to the most useful LMN reports.
(Report names and paths are based on LMN Reports: A Guide, but organized by user question.)

CRM & leads

Goal: “How many leads did we get in a time period, and from where?”

  • Use Referral Source Analysis (Summary or Detailed)

    • Path: Reports > CRM > Referral Source Analysis

    • Set your Start/End Dates and generate.

    • Shows lead counts by referral source.

Goal: “I need a list of contacts/customers with emails, phones, etc.”

  • Use Contacts Export / Jobsites Export

    • Path: Reports > CRM > Contacts Export / Jobsites Export

    • Exports to Excel; you can filter in Excel for campaigns or clean‑up.

Estimates

Goal: “I want material usage from sold estimates, by category or item.”

  • Use Estimate Material Forecasting

    • Path: Reports > Estimates > Estimate Material Forecasting

    • Filter by division, date range, and keywords.

    • Export to Excel to sort/filter further.

Goal: “I want a list of estimates by salesperson/estimator/division.”

  • Use Estimator/Salesperson/Division Sales Reports (Detailed/Summary)

    • Path: Reports > CRM (see your CRM reports in LMN Reports: A Guide).

    • Filter by Estimate Date or Close Date and the person/division.

Jobs & visits

Goal: “Show all services completed for a customer in a period, with totals (itemized invoice‑style).”

  • Use Services + Materials Completed or Service/Material Report

    • Path: Reports > Invoicing

    • Limit: often one month or short date ranges per export.

    • Export to Excel if you need to combine multiple months.

Goal: “Show job history / services done on jobs.”

  • Use Job History – Services [Excel] or Job History [All Details]

    • Path: Reports > Jobs

    • Filter by job, job group, and date range.

Goal: “Get visit counts (how many times we visited).”

  • Use Job History [All Details] or Job Progress reports

    • Path: Reports > Jobs

    • Filter by job, service, and date range to count visits.

Invoicing & A/R

Goal: “Total billed by cost code over a period (e.g., a year).”

  • Use Invoice Summary [by Cost Code]

    • Path: Reports > Invoicing

    • Limit: You may be restricted to 90‑day windows.

    • Run multiple periods (e.g., 4× 90 days) and combine in Excel.

Goal: “See all services done and billed for a customer in a month.”

  • Use Services + Materials Completed

    • Path: Reports > Invoicing

    • Filter by date range and customer.

    • Export to Excel for an “itemized invoice” style summary.

Payroll & timesheets

Goal: “Get employee hours for payroll in Excel.”

  • Use Payroll Report – Excel [Detail] or [Simple]

    • Path: Reports > Payroll

    • Choose your date range and employees/staff groups.

Goal: “See which foremen edited timesheets.”

  • Use Foreman Edit – Audit

    • Path: Reports > Payroll

    • Shows timesheet in/out edits by foreman.

Goal: “See crew daily logs or foreman task scores.”

  • Use Crew Daily Log or Foreman Daily Review

    • Path: Reports > Payroll

    • Limit: Foreman Daily Review is usually limited to short windows (like a week); for longer periods, you’ll need to export multiple times and combine.

Important limits & export notes

  • Many invoicing and service reports are limited to 30 or 90 days at a time.

    • For a year, run multiple exports and combine in Excel.

  • Most reports export to Excel, not directly to CSV.

    • You can open the Excel file and use Save As > CSV if required.

  • LMN currently does not schedule reports to email automatically.

    • You’ll need to run and export them manually.
