LMN & Zapier: Capture New Leads from your Website Intake Form into your LMN CRM

Your website's lead intake form is a vital part of your business. Make sure your LMN CRM is keeping up, by setting up a Zap that will listen for each new form submission and automatically create a new contact within LMN -- saving your team a ton of manual entry in the process. In this article, we'll walk you through the process step by step.

Get your LMN and Zapier accounts ready

First, head to your LMN Subscription page, where you can double-check that your company has the correct subscription type. You'll need to be a Professional or Enterprise subscriber in order to use Zapier with LMN.

Next, in LMN head over to your Integrations page in Settings. This page contains an API Key and API Username that you'll need to use in order to connect a Zap

Next, Create a Zapier account (if you haven't already) and make sure you're logged into it. Zapier will let you build and run a handful of Zaps with a free account -- so no need to worry about billing yet if you're just getting a feel for the tool.

From Zapier's main menu, click on the big orange 'Create Zap' button and you're ready to start building your zap. 

Building your Zap, Part 1: The Trigger

Click anywhere on the 'Trigger' step's rectangle to open a dialog window entitled Change Trigger. This is where you'll search for the software that powers your lead intake form. (Tip: if your website was built by an agency, you might need to contact them to find out what software this is!)

In the example below, we'll type 'Google Forms' into the search bar and select it to proceed.

Next, you'll be able to choose from one or more possible Events within that environment, that may trigger the Zap to run. For example, Google Forms is letting us choose whether we'll listen only for new submissions; or if we want to listen for new submissions and updates to existing submissions. Since your form probably doesn't allow visitors to modify their own form-fills, we'll choose the first option ('New Form Response').

After clicking 'Continue,' Zapier will advance you to the Account tab. This is where you will authorize your own admin access to the software being connected to -- simply follow Zapier's instructions and click 'Continue' again.

The Trigger tab, which should now have automatically expanded, will request some configuration inputs that will vary depending on which software you're connecting to. In our example, Google Forms is asking us which of our existing forms the Zap should listen for submissions from. We'll pick 'Get in Touch With Us' and click 'Continue.'

Now we've made it to the final tab: Test. Zapier will attempt to test its connection to your forms software. If the test is successful, you'll see a readout of all the data from one of your form's submissions. If everything looks good, you're ready to click 'Continue with Selected Record' and start building Step 2.

Building Your Step, Part 2: The Action

This is where LMN comes in. Next we want to set up an Action that will take that form submission, and feed its fields of data into the relevant fields of a new Contact that will be automatically created in your LMN CRM. 

Click anywhere on the Step 2 rectangle to expand it. This time, instead of connecting with a different software, type 'LMN' into the search bar and select it. 

LMN's Zapier App offers a wide range of possible actions that may be conducted in LMN following a triggering event. Since we're looking to add leads to our CRM as Contacts, let's go ahead and select the 'Create Contact' action.

Next, you'll advance to the Account tab and authorize the Zap to access your LMN account. If this is your first time connecting it, you'll need to input the API Key and API Username from your LMN Settings Integrations page in order to do so. If you're prompted to choose a version, select 2.0.5.

Next, under the Action tab, you'll map each incoming piece of information (e.g. First Name or Email Address) to the relevant LMN field. (Note: Keep an eye out for fields marked with an asterisk! These all need to have a mapped input, in order for your Zap testing to be successful.)

After you're done field mapping, advance to the Test tab. Here you'll see which bits of data from your trigger-side test entity, will come in and populate which LMN fields during the test run of your Zap. This view will also highlight any fields that will be left unpopulated after the Zap executes:

Click 'Test Action.' If the test is successful, Zapier will notify you that 'a contact was sent' to LMN. In a few moments you should be able to go to your CRM and validate that a new Contact has been created and contains the passed-in pieces of information. 

With that last test complete, you're all set to hit 'Publish' on your Zap! This will activate the Zap to listen for future form submissions. If any come in, they'll appear in your CRM automatically. (Note: Different Zapier plans have different limits on how many times per month a Zap can execute. Check out Zapier's Pricing page for more information about the plans and their limits.)
