Client Web Proposals Beta FAQ
What is the Client Web Proposals beta?
The beta replaces the dated, PDF-only proposal experience with a dynamic, web-based page designed to improve the customer experience and lay the groundwork for future interactive features.
For the MVP beta, the web experience applies to standard proposals only.
What problems does this solve?
- The current PDF-based process is hard to find, limited in customization, and forces you to regenerate PDFs to see what customers will see.
- Customers must download PDFs to view details, which adds friction—especially on mobile—contributing to lower estimate approval rates.
- A dynamic page removes this friction and sets us up for future enhancements like richer media, attachments, optional line items, and payments.
How do I access the beta experience?
Once your account has opted into the beta, you will see a toggle in Settings > Estimate Settings that will allow you to turn the feature set on. You must click “Save Changes” after you turn the toggle on in Estimate Settings for this to activate.
Once enabled, you’ll see a new Preview and send button in the upper-right corner of the estimate page (available across estimate tabs).
Clicking Preview and send opens a dedicated preview page that mirrors exactly what your customer will see.
What can I do on the Preview and send page?
From the Preview and send page, you can:
- Navigate back to your estimate or proceed to send.
- Use a toolbar (visible only to internal users) to adjust proposal display settings.
- Control visibility of:
- Line items
- Line item total pricing
- Subtotals and taxes
- Send the proposal directly to your client.
What do customers see?
Customers receive a clean, mobile-responsive proposal page that reflects the visibility settings you chose (no internal toolbar is shown to customers).
They’ll see:
- Title, company, and customer information; header and footer notes (per your settings).
- An Estimated work section for each work area, including title, total price, client notes, and any visible line items with quantities, units, and pricing. Long notes truncate with “see more/see less” controls.
- A Project summary with work area subtotals, overall subtotal, taxes, and total price.
Can customers approve or request changes?
Yes. Customers can approve, decline, or request changes directly from the web proposal page. If they accept, they can sign to complete approval.
What happens after I send a proposal?
After sending, the page behaves the same as before in terms of your broader workflow—the key change is the new preview-and-send experience and the web-based customer view.
Is the customer portal supported?
For MVP, we’re updating the public route (no login required) of the customer portal so customers can view and act on proposals. The authenticated portal experience will be updated later, after we gain confidence in the new flow.
The public proposal page is mobile-responsive and respects your display settings.
What can I customize in the proposal view?
You can toggle the visibility of line items, line item totals, and subtotal/tax lines. These settings control exactly what customers see in their web proposal.
Can I still work with PDFs?
Yes, if you send the proposal first, you can download the PDF from the Portal tab. However, downloading the PDF before it is sent is not possible in this beta release. We are actively building the ability to download the PDF before send right now and it will be available soon.
What’s included in the MVP?
- Web-based presentation for standard proposals only.
- Preview and send workflow with internal toolbar controls.
- Customer actions: approve, decline, request changes; signing upon acceptance.
- Mobile-responsive public proposal page honoring your visibility settings.
What’s not included yet (planned future iterations)?
- Expanded display settings and formatting based on beta feedback.
- A redesigned PDF export experience.
- Ability to add files/attachments to estimates.
- Support for service estimates (MVP focuses on standard estimates).
Known Limitations & Notes for Beta
- The beta does not change the underlying estimate content—only how it’s presented and sent via the new preview experience.
- The authenticated customer portal experience will be updated after MVP; the public route is enabled first to simplify iteration.
- Some aspects (like comments removal, rejection handling on the page, and versioning behaviors) are under review; we will refine based on beta learnings.
Tips for a Great Proposal
- Use header and footer notes to provide context, scope, or next steps; long notes are managed with “see more/see less” controls for readability.
- If you prefer not to expose line-item detail or pricing, use the display toggles to tailor the customer view.
- For multi-work-area estimates, rely on the Project summary to clearly present subtotals, taxes, and the total price.
Feedback & Support
Your feedback during beta is crucial. We’re particularly interested in:
- Which display settings you rely on most, and which you’d like added.
- Any friction in the preview-and-send flow.
- Customer reactions to the web-based proposal and mobile experience.
Please share issues, suggestions, or questions with your product contact so we can iterate quickly during the beta phase.
